Order Processing Officer

This job is to ensure that orders received by clients are processed in order to ensure that client and company requirements are filled.

The person fulfilling this position, must be intelligent, self-motivated and able to work on own initiative.  Must be able to work in a team.


Responsibilities & Main Duties
• Handle incoming inquiries.
• Register them according to company procedures.
• Prepare proforma invoices and send to client
• Follow-up proforma invoices with customers and log outcome in proforma invoice log book
• Liaise with Suppliers and Customers
• Handle incoming orders
• Check that order corresponds to the offer supplied to the Customer
• Check that payment terms and conditions are met before proceeding with the order
• Prepare orders for authorized signature and process with Supplier
• Follow up the order with the Supplier until goods are ready for shipment
• To coordinate with the Supplier or Shipping Agent regarding shipment of the goods and to give Supplier and Shipping Agent Shipping Instructions according to client requirements
• Prepare shipping documents required for the client
• Inform client of shipping details
• Send shipping documents to the client 
• Coordinate with other departments within the Company in case of training and installations relating to an order.
• Take care of Customer Accounts and be the liaison between customer and the company. 

Required Knowledge & Qualifications
- Minimum 4 years experience in similar or same position and/or qualifications in Business Studies
- Diploma in Marketing, Sales, Transport or in Credit Control.
- Very Good Knowledge of Logistics
